CO PRODUCTIONS

PIP Theatre’s co-production model offers an accessible and collaborative opportunity for producers to stage their works within a professionally supported framework. Co-productions are programmed as part of PIP Theatre’s curated season, aligning with the venue’s mission of fostering creativity, inspiring social change, and connecting audiences with meaningful stories.

Key Features of PIP Theatre’s Co-Production Model:

Box Office Split Agreement:

Instead of upfront hire fees, co-productions operate on a box office split arrangement. This ensures producers can minimise initial financial risk while benefiting from shared revenue.

Venue and Production Support:

Co-producers gain access to PIP Theatre’s facilities, including professional AV/tech equipment, front-of-house staff, bar operations, ticketing and box office management, and marketing support.

Marketing and Promotion:

PIP Theatre assists co-producers in promoting their shows through social media, email newsletters, and audience outreach. Marketing support includes guidance for photoshoots, professional templates for posters, and collaborative campaigns.

In-Kind Support Opportunities:

For select productions, PIP Theatre may offer in-kind support, such as rehearsal space or discounted venue hire rates, to further assist creatives in staging their work.

PIP TIMELINES & DEADLINES

3 Months Prior to Opening
  • Return your Co-Production Agreement and pay your bond
  • Tickets on sale. Ensure your ticketing information is provided. 
6-Weeks Prior to Opening
  • Obtain music rights & provide evidence to PIP Theatre. APRA needs you to complete the application form 6-8 weeks before opening night. (Dramatic Context performances use pre-existing musical works to tell a story). NOTE: PIP has a general background music license to cover pre & post-show music/foyer music only.
  • Register for The Matilda Awards if your production is eligible. The Matilda Awards require you to register your show at least 6 weeks in advance of the season beginning. There are 14 judges on the panel, of whom at least 4 need to see the production for it to be in the running for nominations. PIP Theatre is happy to offer comps to any number of judges.
4-Weeks Prior to Opening
  • Typically, PIP Theatre will commence your marketing campaign up to 4-weeks prior to Opening. By 4-weeks out we will also require additional marketing material. This may include individual shots of the cast for a cast reveal, rehearsal pictures, video reels, or group shots.
  • Send invitations to reviewers up to 4-5 weeks before opening. Additionally, any media, industry or VIP guests you may like to invite to Opening Night (please be aware of 2025 comp policy).
3-Weeks Prior to Bump-In
  • Provide a schedule of events (bump in/out times, rehearsal times, technical rehearsals, venue vacated times etc) no less than three (3) weeks before the commencement of the onsite activity.
  • Send set/staging plans to PIP three (3) weeks prior. This includes a diagram of the stage configuration (IE How many staging platforms/what layout), also a diagram or drawing of the set.
2-Weeks Prior to Bump-In

Specify and request any initial technical specifications for rigging no less than two (2) weeks before the tech week period. Note being, changes to the rig or lighting plan that incur a rigger or venue tech will be at the cost of the co-producer.

Bump-In / Tech
  • PIP will likely have your stage layout ready to go by the time you bump-in. If there is a quick turnaround time in between productions, the stage reconfiguration may happen on your first day of bump-in. This is done by PIP Staff.
  • We will host a venue induction on your first day to go over safety elements and provide access information.
  • You may like to contact a photographer to capture photos of dress rehearsals in the space during this period
  • Provide your show program to PIP, either digitally via a QR code or physical copies

MARKETING

As an independent theatre company, maintaining high-quality marketing material is essential to upholding PIP’s brand and identity. The shows we program and promote become an extension of PIP, and your marketing efforts directly impact ticket sales. We strongly recommend planning a professional photoshoot to create a standout hero image. PIP can support you by offering photoshoot briefs, editing assistance, and a poster template to ensure consistency and quality across all promotional materials. Questions to Ask Yourself

If you already have a hero image or are planning to create one, please consider the following questions before sending us the final version:

  1. If you saw this image advertising someone else’s show, would you book tickets?
  2. Is this image appealing to your intended target market?
  3. Does this image clearly convey the tone or theme of your production?
  4. Will this image stand out among other show advertisements?
  5. Does the image align with the branding and visual style of the production?
  6. Is the image high-quality and suitable for various platforms (digital and print)?

  • All posters and flyers advertising your production must include the PIP logo. You’re welcome to adjust the logo’s colour to suit your design, but it must remain clearly visible.

    FINANCIAL TERMS

    What is the Net box office share distribution for a co-production at PIP Theatre?

    The Net Box Office share is distributed as follows: 65% goes to the Co-Producer, and 35% to PIP Theatre. The minimum box office share to PIP Theatre is $200 per performance, even for canceled performances.

    How is the Net Box Office calculated?

    Net Box Office is defined as the gross box office amount (excluding GST), minus ticketing and box office charges (also excluding GST). These charges include booking, credit card, and event setup fees.

    What is the bond amount for co-productions at PIP Theatre?

    A bond of $1,000 is required, with $500 payable upon agreement. 5. When will the final share payment be made? Final share reports and payments will be generated by PIP Theatre within 7 days of the final performance.

    Does GST apply to the box office split?

    Yes, if the Co-Producer is registered for GST, the box office split is considered a taxable supply, and GST will be added to the calculation.

    How can I purchase tickets at PIP Theatre
    • Online: Visit www.piptheatre.org.
    • Phone: Call 0427 031 983.
    • In-person: At the Box Office located at 20 Park Road, Milton. The Box Office opens one hour before showtime and operates from 8 am – 4 pm on weekdays.
    Are there any conditions for ticket sales?
    • All ticket purchases must be made exclusively through the PIP Theatre website.
    • External ticket sales outside of PIP Theatre’s official system are not allowed.
    • Tickets bought through unauthorized channels may be canceled and deemed invalid, with no entry granted to the event.
    What fees apply to ticket purchases?
    • Event Setup Fee: $200 (deducted at settlement).
    • Booking Fee: $3.30 (incl. GST) per order, charged to the customer.
    • Ticket Fee: $1.10 per ticket (included in the ticket price).
    • Bank Fee: Approx. 1.75% (incl. GST), charged to the customer.
    • All fees and charges include GST.
    Are complimentary (comp) tickets available?
    • Complimentary tickets are reserved mainly for reviewers and judges.
    • Co-producers can distribute up to ten (10) complimentary tickets during the season.

    • Preview ticket pricing is typically $30, but may vary depending on the production.

     

    STAGE LAYOUT AND SEATING

    What is the stage layout at PIP Theatre?
      • Traditional Layout: 12 staging platforms, measuring 6m wide x 4m deep with a height of 60cm.
      • Seating Capacity: Between 100-130 seats, with options for tiered seating or cabaret-style arrangements.
      • Backstage Access: Areas are created with push-up drapes; direct stage access from both sides may require additional setup.

      • Projection: High-resolution projector with multiple input option.
      • Audio: Professional sound system with microphones and digital sound console.
      • Lighting: LED lighting system with various control and effect options.
      • Rigging: Standard lighting rig available; additional rigging requires approval and a licensed rigger.

        VENUE INFORMATION

        What are the guidelines for decorating the theatre space?
        • Customization of the theatre space is allowed, but no permanent alterations (e.g., nails, screws, glue) are permitted.
        • All furniture moved must be replaced to its original location.
        Are there any restrictions on set construction?

        No set construction involving painting, drilling, or similar activities is allowed without prior consent from the venue.

        Is there parking available at the theatre?
        • Street Parking: Free street parking is available, with time limits on weekdays.
        • Basement Parking: Free after 4 pm on weekdays and all day on weekends.
        • On game days, special parking restrictions apply.

         

        Is PIP Theatre accessible to people with disabilities?
          • The theatre is fully accessible via a lift that services all levels.
          • Dedicated wheelchair seating is available in the front row.

           

          TECHNICAL SPECIFICATIONS

          Can we use our own AV equiptment?
          Yes, but all additional equipment must be approved and rigged by a licensed rigger.

          • The venue does not support dimmer racks, so external equipment must be digital. 
          What is the policy for using smoke machines or hazers?
          • The use of smoke effects requires isolating the venue’s alarm system, performed only by authorized staff.

          What should co-producers provide before the event?
          • A detailed schedule of all event activities three weeks in advance.
          • Technical specifications for rigging two weeks before the event.
          • Necessary permissions for the use of music or copyrighted material.

          CO PRODUCTION GUIDELINES

          What are the responsibilities of co-producer at PIP Theatre?
          • Co-producers must comply with all venue rules, including technical and promotional requirements.
          • All ticket sales must go through the PIP Theatre ticketing system.
          • Co-producers are responsible for paying cast and crew at industry-standard rates.

          STAFFING

          What staff is included with venue hire?
          • Included Staff: Box office, front-of-house, and bar staff.
          • Additional Staff: Technical designers and operators can be hired at $36/hr.
          • Penalty rates apply for work on Sundays and public holidays.
